Primary Function Under the direction of the Chief Deputy, assigned Section Supervisor or designee, the incumbent, in accordance with established policies and procedures, enters court documents into the case management system including legal filings, findings, decrees, judgments, case progressions, dismissals and all other court actions. Check court documents for accuracy. The incumbent also performs customer services functions, assists the public, attorneys and officers of the court in accessing and retrieving legal records.
Primary Duties & Responsibilities:
An incumbent of this position may perform any combination of the following duties and responsibilities depending on assignment. Process court documents and enter actions into the case management systems. Read documents to determine the nature of the papers, enter coding based on the legal action being recorded and determine what processing is required. Check documents for accuracy of names, orders, case numbers and ensure case numbers correspond to image scanned into document system. Remain vigilant for any errors and omissions in legal documents and contact attorney or judges originating the documents for clarification or correction. size="2"> Locate and retrieve court records, documents, and docket pages as requested by attorneys, court employees, and the general public. Consult with supervisor regarding questionable requests. Properly log and record all documents and files checked out for easy tracking. Pull and prepare court files for next day's hearings. Receive legal pleadings, orders, motions, and other legal filings from Juvenile Court cases. Date stamp, perform computer entry of pertinent data, and arrange in numerical order of docket and page numbers for filing. Prepare writs (summons, subpoenas, capias and other legal documents). Record in the delivery book as required and prepare for pickup by the Sheriffâs Department staff. As requested or as directed, prepare transcripts for the Court of Appeals or Supreme Court; type and prepare certified and authenticated copies of Court Orders. Answer phones and assist customers at counter. Look up and provide information such as case numbers, dates and times of hearings and location of courtrooms where cases are being heard. Provide historic information such as dates of divorce decrees, information dealing with criminal matters, prior court hearings and j uvenile records as allowed by statute and process. Refer questions and inquiries outside area of expertise to supervisors or other departments as appropriate. Review e-filed documents and accept or reject with direction to the filer as needed. Respond to walk-in traffic, answer questions and provide directions to courtrooms as needed. Assist customers with the operation of the public access computer system. Answer questions of staff, attorneys, Court personnel and the general public regarding germane sections of state statutes and the procedures of the Clerk of the District Court. Answer questions within area of expertise and refer all other inquiries to appropriate personnel. Establish and maintain an effective working relationship with staff members, attorneys and the general public. Maintain a positive public image of the Douglas County Clerk of the District Court in all dealings with the public. Participate constructively and positively within workplace teams to facilitate the collective achievement of department goals. Provide assistance to co-workers as needed and seek assistance as required. Provide constructive suggestions for improvements in processes and procedures. Other Duties and Responsibilities Scan and archive legal documents as needed. Sort and prepare documents for scanning. Operate Scanner/Microimager equipment to scan each document. Review the resulting image, delete any incorrect documents and rescan documents after corrections are made. May be called to assist in the courtroom to generate orders and other documents to facilitate more efficient processing of court actions. Perform other related duties as assigned.
Qualifications:
High school graduation or the equivalent. Two* years full time equivalency work experience in a position utilizing basic clerical skills, of which one year has been in a position operating a personal computer as a primary work activity. Experience or training which evidences knowledge of legal terminology and the court system desirable. Ability to type 40 net words per minute. Successful completion of a pre-employment criminal records check. *Approved education beyond high school in study areas of law, business administration, public administration or related field of study may be substituted on a year-for-year basis for the required work experience.

Work also requires the ability to occasionally lift and carry documents and supplies weighing up to 25 pounds. Work requires the hand-eye coordination and manual dexterity necessary to operate computers and other equipment used to perform the essential functions of this job. Required sensory abilities include vision, hearing and touch. Visual abilities, correctable to normal ranges, include close vision, distance vision, and the ability to adjust focus. Communication abilities include the ability to talk and hear within normal ranges.
