Primary Function
Under the direction of the Health Center Administrator, or designee, the incumbent performs advanced secretarial and administrative support duties. The incumbent coordinates departmental support activities and maintains the confidentiality of sensitive information. The incumbent assures adherence to departmental policies, procedures, and practices applying them along independent judgment and decision-making skills in the performance of job duties.
Essential Functions:
Receive, sort, and distribute all mail/correspondence for the Health Center Administration.
Greet v isitors, promote a positive and accommodating image of the Health Center, and provide assistance to the public, government officials, employees, and other community agencies.
Answer and respond to phone calls, resolve complaints, employ problem-solving techniques, and refer calls to Administrator when necessary.
Schedule and attend meetings, appointments, conferences, etc.
Draft letters, memorandums, agendas, resolutions, and other correspondence on behalf of Health Center Administrator.
Manage scheduling of Town Hall facilities ensuring effective utilization of space.
Gather timesheets for assigned Executive Staff and present to Health Center Administrator for review and authorization.
Maintain and file administrative correspondence, records, reports, etc.
Attend Board of Trustee and other various meetings, as directed by the Health Center Administrator.
Prepare Board of Trustee packets including, but not limited to, agenda, prior meeting min utes, Health Center Administrator's report, Community Mental Health Center Director's report, and other reports, and ensure timely delivery of packets to Board members, County Administrator, Deputy County Administrator, and County Attorney's office.
Transcribe recorded minutes for the Board of Trustees, and manually transcribe minutes for the Medical Staff, Credentials Committee, and the Douglas County Health Center Foundation. May also be a member of the Foundation, assist with donation tracking, tax exempt letters, bulk mailing funding and distribution, etc.
Maintain and update all reports, statistics, documentation, correspondence, contracts, etc., pertinent to review by Nebraska Health and Human Services, State Fire Marshall, and Veterans Administration.
Process supply requisitions/purchase orders, assure adequate office supply inventory, and ensure office equipment is working properly.
Process applications for Medical/Dental staff appointments for review and action by the Credentials Committee, and coordinate credentialing verification with Metro Medical Society.
Prepare annual State License applications.
Provide secretarial support to Medical Director as needed.
Maintain website Calendar of Events for the Health Center.
Perform other duties as assigned.
Education and Work Experience and Other Requirements:
High school degree or GED.
Five (5) years* of experience as an executive secretary or related experience.
Work experience in a healthcare setting preferred.
Ability to type 60 net words per minute.
Ability to transcribe from voice recording.
Two years experience with Microsoft Office products. *Approved education or training beyond high school may be substituted for experience on a year-for-year basis.

Required sensory abilities include vision, hearing, and touch. Visual abilities, correctable to normal ranges, include close, distance, color vision, and depth perception, as well as the ability to adjust focus. Communication abilities include the ability to talk and hear within normal ranges.
