Further informations about this position opportunity kindly read the description below. Kutak Rock LLPâs Omaha office is seeking candidates for a Receptionist/Records Clerk. The primary responsibilities of this position include analyzing, sorting, retrieving and del! ivering files upon request. Also requires inventory control and recordkeeping systems using computerized databases. This position also will provide back-up coverage for all lunch, other break periods, and time off scheduled by the Console Operator and the Conference Center Coordinator. This individual will also assist with tasks associated in other areas as designated by the supervisor.
Responsibilities will include, but are not limited to:
Heavy usage of databases to enter information for active and closed records
Locates documents and/or files
Retrieves documents and/or files on continuous basis
Prepares file jackets, folders and labels for new files
Assists in file closing procedures
Transfers files from active to closed (about 200 boxes per week)
Delivers closed files to attorneys for review and retention schedules
Assists in record review/destruction follow-up activities
Assists in warehousing of closed files off-site!
Reads incoming material and sorts according to file
M! aintains inventory or control system
Traces missing file folders
Searches for and investigates information contained in files
Assists with telephone coverage for department
Flexibility to work overtime
Provides back-up coverage by answering incoming calls, assisting with inquiries, directing callers, taking messages and paging
Greet and direct clients, vendors and visitors
Assist with coordinating and scheduling of conference rooms for internal and client meetings
Schedule internal conference calls by using the firmwide system
Place catering orders for meetings
Maintain the reception and conference rooms in a neat and orderly manner and work with other members of support staff
Requirements and qualifications:
High school diploma or equivalent is required
Two yearsâ related experience, including excellent organizational skills and outstanding telephone etiquette to manage a multi-line switchboard system
The ideal candidate will be familiar with Microsoft Office Products, including Word and Outlook
Must be able to work with and handle confidential materials
Must be able to lift, push and/or shove boxes weighing up to 50 pounds each
Good ethics and sense of numbering and filing schemes. Organized and self-starter; ability to work with little supervision
