Basic Functions:
Provide administrative and secretarial assistance for attorneys to contribute to the effective legal services for the Companies.
Essential Job Functions:
Possesses in-depth knowledge of procedures and operations of the Company, including knowledge and understanding of senior management, their roles and areas of responsibilities, Company guidelines, expense reporting, accounts payable, facilities management, and human resources policies and procedures. Possesses in-depth knowledge of the Law Operation, including its purpose, functions, workflow, policies/procedures, clients, and relationship to the Company, and working level knowledge of other departments. Und! erstands the practice area's role in cross-group and cross-Div! isional work. Keeps abreast of current department and practice area procedures and makes recommendations for change. Uses knowledge to provide substantive team support, to identify and/or anticipate issues relevant to cases, matters, projects or transactions, and to deal directly with client representatives and outside parties, including outside counsel. Applies knowledge to work with the Legal Administrator, attorneys, paralegals and others to develop and/or modify procedures and processes to meet Company or department needs. Possesses working knowledge of document management systems to organize data, documents, and information in a meaningful and accessible manner. Possesses intermediate knowledge of computer applications and ability to apply knowledge to solve business needs, including prepare reports, develop and maintain databases, download information from assigned systems, train users, and respond to questions regarding PC system applications. Possesses the ability t! o create templates or forms for attorney or departmental use. May effectively manage data from multiple software/data applications. Possesses good to strong arithmetic skills and ability to identify errors and inconsistencies. Possesses the skills to respond to time critical, sensitive, unique and complex cases or transactions. Possesses skills to maintain confidentiality of highly sensitive organizational issues that may impact a business unit, division, and/or corporation.
Possesses strong written and oral communication skills to exchange and verify sometimes complex information with co-workers, attorneys, client representatives and individuals outside the Company, and coordinates with attorneys as appropriate. May create or assist in creating department correspondence and documents. May proofread others' documents to ensure accuracy. May report on meetings, interviews, hearings, etc. Establishes a rapport with clients, consultants and others, communicating appropriat! ely in sensitive situations. Uses negotiation skills and follows up to ! ensure timely and effective completion of projects or assignments. Serves as liaison between attorneys, management, and staff. May develop and document administrative procedures. May communicate policies and procedures and coordinate staffing, work assignments, training, etc.
Possesses strong information gathering, analytical and interpretive skills to work with attorneys, staff, departments, and individuals outside the Company. Analyzes information from files to independently complete tasks. Understands where to obtain information critical to completing the job, employs creativity to gather information from a variety of sources. Assists others in locating materials or information and integrating information from multiple sources. Investigates and clarifies problems, provides workable solutions using discretionary judgment. Uses experience and judgment to make decisions or recommendations which may be based on partial information.
Uses strong planning and organizati! on skills in coordinating the needs of multiple parties, inside and outside the Company. Delegates specific tasks to internal and/or external resources as appropriate in order to accomplish projects or assignments in the most cost effective manner. Participates with attorneys, paralegals and others in planning and scheduling to meet established deadlines and to ensure the completion of assignments and projects. Able to evaluate and analyze specific situations or projects and develop alternative solutions for resolving issues. Identifies and coordinates resources to ensure that multiple and complex tasks/activities are completed on time. Demonstrates attention to detail.
Works under limited guidance and supervision of the Legal Administrator, attorneys and paralegals to complete assignments or responsibilities on time, i.e., works with considerable independence on assignments, reporting on progress as needed. Independently determines approach to completing broadly define! d tasks. Independently identifies and resolves problems. Possesses know! ledge regarding precedents or alternatives that may exist and applies such knowledge in choosing the best course of action. Seeks input from Legal Administrator, attorneys, paralegals and/or others in resolving problems where no obvious solution exists. Provides guidance and/or technical assistance to other staff members or support services. May have limited supervisory responsibility such as for temporary personnel working on specific projects, etc.
Works efficiently and effectively under pressure. Coordinates with others to ensure that tasks are completed on time and that project objectives are met. Responds effectively to the demands of multiple team members. Works well under pressure. Demonstrates positive proactive attitude toward project and project team. Ensures that all relevant parties are involved in or informed appropriately of significant activities that affect the team project. Provides leadership to project team to promote teamwork, motivation and quality ! work. Possesses the skills to resolve conflicts that arise in a team setting.
Performs activities related to Board of Director and Board committee meetings, including but not limited to: drafting notices of meetings; utilizing the electronic board portal to post meeting materials; preparing agendas; coordinating travel logistics; preparing personalized director travel and meeting schedules; and communicating effectively with executive officers and board members. Proactively maintains and updates minute books, corporate records and files, compiles documentation requested by regulatory agencies, serves as corporate secretary's database administrator and prepares and files annual regulatory reports and licensing renewals.

Ability to identify all types of legal documents; broad-based knowledge of various practice area document structures and formats, including the proper use of legal citations and legal terminology.
