Location: Omaha, Nebraska

Description: Farm Credit Services of America is at present recruited Temporary Receptionist M-F 12-5pm right now, this occupation will be reside in Nebraska. This position is responsible for general office reception functions which include greeting and assisting guests and providing directions and information; monitoring Omaha and remote office security, assigning security badges; issuing and scheduling car pool vehicles; and special projects as assigned. DUTIES AND RESPONSIBILITIES:
Essential functions of the position include, but are not limited to:

RECEPTION

1. Receive, welcome, and assist Association guests with requests for service and provide directions and general information to them. Call appropriate FCSAmerica employee to receive guest.

2. Maintain neat and friendly appearance of facility lobby and work area.

3. Responsible for Association main phone switchboard and proper routing of calls. Must represent FCSAmerica in a professional manner by providing exceptional customer service to deliver a positive first impression of our company.

4. Receive packages and materials from vendors or guests. Forward to or call appropriate FCSAmerica employee and request pickup of materials.

SECURITY

5. Monitor facility main entrance and deter unauthorized individuals from entering the facility. Request unauthorized individuals to leave the facility. Responsible for facility main entrance in emergency situations.

6. Assign, receive, and monitor security badges for employees, guests and vendors. Ensure badges are returned when guests and vendors leave facility and employees’ terminate.

FACILITIES SUPPORT

7. Assist with coordination and implementation of the Original Loan document process, ensuring compliance by all participants to a standard process implementation.

8. Provide support for Association-wide records retention program by receiving original loan documents from Retail, CHL, and Ag-Direct customers; check all documents for completeness, verify the existence of the To-Do in Relationship; create the appropriate file and label; and ensure that the files are placed in the correct location within the filing system.

ADMINISTRATIVE & OTHER

9. Serve as Omaha resource and resident expert for the use of PowerPoint and SharePoint. May assist with development of materials as time permits

10. Schedule, assign, and check out car pool vehicles to authorized individuals. Keeps appropriate vehicle usage records.

11. Coordinate food service orders for all Omaha teams.

12. Schedule and coordinate catering for internal food service.

Additional functions of the position may include:
1. Performs other related duties as assigned.

JOB SPECIFICATIONS:
High school education or equivalent and experience in a corporate environment preferred. One to two years experience as an administrative assistant, receptionist or related support role in a large corporate environment.

Duties require:

  • Self-directed individual with attention to detail and ability to multi-task
  • Understanding and knowledge of Association functions, teams and accountabilities to assist in routing of calls
  • Excellent interpersonal and human relations skills and poise, courtesy and professional appearance
  • Ability to type 50 â€" 55 wpm with a high level of accuracy
  • Ability to interpret policies and regulations
  • Ability to appropriately handle highly confidential materials and reports.
  • Very high level of accuracy and attention to detail.
  • Excellent oral and written communication skills.
  • Ability to work independently with minimal supervision.
  • Friendly, courteous and efficient phone skills.
  • Ability to work effectively in a team environment and effectively demonstrate team building attitude and skills.
  • Ability to utilize computer systems, equipment, databases and software applications. Must be proficient in Windows environment using Microsoft Word, Excel, Internet Explorer, PowerPoint and SharePoint.
INTERNAL/EXTERNAL CONTACTS:
FCSAmerica guests, visitors, and business service vendors, Association employees at all levels and terminated employees and applicants.

MENTAL AND PHYSICAL REQUIREMENTS:
  • Ability to engage in telephone conversation and face-to-face conversation to serve customers and give and receive information form staff, vendors, outside consultants and the public.
  • Ability to use computer. This involves reading the screen and keying/typing information.
  • Ability to speak and make presentations to individuals or groups on technical subjects related to job.
  • Ability to travel via auto or commercial transportation to carry out essential responsibilities of the job.
  • Ability to successfully interact with and represent the organization to staff, officers, board members, customers, vendors, and/or the public at all levels.
  • Provide sound technical advice to leaders and other staff in the subject field(s) related to this position.
  • Ability to understand and explain various subject matter and consulting concepts, programs, terminology, and methods.
  • Ability to reason, judge, compare, calculate, evaluate, decide, and critique such information as written material, numerical data, responses to customer needs, and/or other related work activities.
